Stay Policies

Everything you need to know for a comfortable, worry-free stay. Please review the policies below before your arrival — and reach out any time if you have questions.

Early check-in or late check-out may be available upon request and subject to availability.

We look forward to welcoming you to Hopewell Highlands. Upon arrival, please stop at the office, where a member of our team will provide your keys and information to help you make the most of your stay.

If you expect to arrive after 8:00 PM, please contact us in advance so that alternative arrangements can be made.

Check-out time is 11:00 AM. To help us prepare the dome for incoming guests, we kindly ask that guests complete the following prior to departure:

  • Return all keys to the office, or in the designated key drop outside the office.
  • Ensure all personal belongings have been removed from the dome.
  • Turn off lights, small appliances, and any electronics not required to remain on.
  • Ensure the dome is locked upon departure.
  • Ensure the hot tub cover is properly closed and secured.

Guests are not expected to strip beds or perform extensive cleaning; however, the accommodation should be left in a reasonably tidy condition.

Late check-outs must be approved in advance by Hopewell Highlands and may be subject to an additional fee.

Any personal items left behind will be held for a reasonable period. Guests are responsible for any shipping or handling costs associated with the return of lost items.

  • Reservations cancelled more than 14 days prior to the scheduled arrival date will receive a refund of the booking amount, less applicable transaction and processing fees.
  • Reservations cancelled between 7 and 14 days prior to the scheduled arrival date will be charged the equivalent of one night’s stay, plus applicable transaction and processing fees. Any remaining balance will be refunded.
  • Reservations cancelled less than 7 days prior to the scheduled arrival date are non-refundable.
  • Guests who fail to arrive for their reservation without prior notice (“no-shows”) will not be eligible for any refund.

If we are able to rebook your cancelled dates, we may, at our sole discretion, offer a partial refund or future stay credit.

  • Guests are responsible for the safekeeping and return of all keys provided during their stay.
  • Keys must be returned according to the check-out instructions provided by Hopewell Highlands.
  • If a key is lost, stolen, damaged, not returned at check-out, or returned in a condition that renders it unusable, the guest may be charged for replacement costs, lock replacement, re-keying, labour, and any associated security measures deemed necessary by Hopewell Highlands.
  • Guests should notify Hopewell Highlands immediately if a key is lost or stolen so appropriate security measures can be taken.

Guests are welcome to enjoy the designated fire pit during their stay, provided all safety guidelines are followed.

Use at Your Own Risk
Guests assume all risks associated with the use of the fire pit. Hopewell Highlands shall not be responsible for injuries, accidents, property damage, or losses arising from the use of the fire pit. Children must be supervised at all times when near the fire pit.

Permitted Use

  • Fires are permitted only within the designated fire pit provided on the property.
  • Only clean, untreated firewood may be burned. The burning of garbage, construction materials, plastics, cardboard, furniture, accelerants, or any other prohibited materials is strictly prohibited.

Fire Safety

  • Guests must never leave a fire unattended.
  • Fires must be kept at a reasonable size and fully extinguished before leaving the area, retiring for the evening, or checking out.
  • Guests must comply with all provincial and local fire restrictions, burn bans, and fire advisories. Hopewell Highlands reserves the right to prohibit fires at any time due to weather conditions, fire risk, or government restrictions.

Prohibited Activities

  • Leaving a fire unattended
  • Burning prohibited materials
  • Moving the fire pit
  • Creating fires outside the designated fire pit area
  • Disposing of hot ashes in garbage containers
  • Using gasoline, diesel fuel, or other accelerants to start or maintain a fire

Damage & Liability
Guests are responsible for any damage, loss, injury, cleanup costs, fines, or expenses resulting from negligent or improper use of the fire pit.

Dome 1 is pet-friendly and welcomes up to two well-behaved dogs per stay. To ensure a comfortable experience for all guests, we ask that pet owners adhere to the following guidelines:

  • Dogs must be declared at the time of booking.
  • A pet fee applies. Unregistered pets are subject to a fine of $50/pet.
  • Pets must be supervised at all times and may not be left unattended in the dome unless securely crated.
  • Pets must be kept under control and on a leash while outside the dome.
  • Guests are responsible for cleaning up after their pets both inside and outside the property.
  • Excessive barking, aggressive behaviour, or disturbances to other guests are not permitted.
  • Guests are responsible for any damage, additional cleaning, or repairs resulting from their pet’s stay.

Hopewell Highlands reserves the right to charge additional cleaning or damage fees where necessary. For the comfort of guests with allergies, pets are not permitted in any other accommodation units unless specifically designated as pet-friendly.

A barbecue is provided for the enjoyment and convenience of registered guests. By using the barbecue, guests agree to follow all safety guidelines and assume all risks associated with its use.

Use at Your Own Risk
Guests use the barbecue at their own risk. Hopewell Highlands shall not be responsible for injuries, accidents, burns, illness, property damage, or losses arising from the use of the barbecue.

Safe Operation

  • Guests are responsible for operating the barbecue safely and in accordance with any instructions provided.
  • The barbecue must be used only in its designated location and must not be moved.
  • The barbecue should never be left unattended while in use.

Cleanliness

  • Guests are expected to leave the barbecue in a reasonably clean condition after use.
  • Food debris, grease buildup, and excessive residue should be removed following use.
  • Excessive cleaning resulting from misuse or neglect may result in additional cleaning charges.

Prohibited Activities

  • Using the barbecue indoors or inside any structure
  • Moving the barbecue from its designated location
  • Using accelerants or flammable liquids
  • Burning materials other than those intended for the barbecue
  • Tampering with propane tanks, gas lines, burners, or other equipment
  • Leaving the barbecue unattended while lit

Fire Safety
Guests must exercise caution when using the barbecue and ensure the unit is turned off completely after use. Hopewell Highlands reserves the right to restrict or prohibit barbecue use during periods of extreme fire risk, burn bans, equipment maintenance, or unsafe weather conditions.

Hopewell Highlands is a smoke-free accommodation.

  • Smoking, vaping, cannabis use, and the burning of any substances are strictly prohibited inside the domes.
  • Guests may smoke only in designated outdoor areas and must dispose of all materials safely and responsibly.

A minimum cleaning and deodorization fee of $250 will be charged for violations of this policy. Additional damages or lost revenue resulting from smoking may be charged separately.

The hot tub is provided for the enjoyment of registered guests. By using the hot tub, guests agree to follow all safety guidelines and assume all risks associated with its use.

Use at Your Own Risk
Guests use the hot tub at their own risk. Hopewell Highlands is not responsible for injuries, accidents, illness, or loss resulting from the use of the hot tub. Children under 16 years of age must be supervised by an adult at all times while using the hot tub.

Health & Safety

  • Guests should consult a physician before using the hot tub if pregnant or if they have any medical conditions that may be affected by heat exposure.
  • Guests should limit their time in the hot tub and remain properly hydrated.
  • The use of alcohol or drugs while using the hot tub is strongly discouraged.

Hot Tub Care

  • Please shower before entering the hot tub whenever possible.
  • Do not enter the hot tub with excessive dirt, mud, oils, lotions, or sunscreen.
  • Glass containers are not permitted in or around the hot tub.
  • Food is not permitted in the hot tub.

Prohibited Items

  • Soap, bubble bath, bath bombs, shampoo, conditioner, body wash, or detergents
  • Oils, salts, fragrances, or other bath products
  • Alcoholic beverages poured directly into the water
  • Confetti, flower petals, glitter, or decorative materials
  • Any substance that may damage the hot tub, filtration system, pumps, plumbing, or water quality

Guests must not tamper with hot tub controls, pumps, filters, electrical equipment, or chemical systems.

Damage & Additional Cleaning
Guests are responsible for any damage, contamination, or excessive cleaning resulting from misuse of the hot tub.

Right to Suspend Use
Hopewell Highlands reserves the right to suspend access to the hot tub without refund if guests fail to comply with this policy or engage in unsafe, destructive, or inappropriate behaviour.
